Refund and Cancellation Policy

Last Updated: December 20, 2025

This Refund and Cancellation Policy explains how cancellations, refunds, and booking-related charges work for services requested through j316transport.com. By requesting a quote or booking a shipment, you agree to this policy and our Terms of Service.

Quick links

1) Definitions

  • Customer / You: The person requesting a quote or booking a vehicle shipment.
  • Company / We: J316 Transport (site operator and service provider).
  • Booking / Order: A confirmed shipment request with a scheduled pickup window.
  • Deposit / Reservation Payment: Any payment collected to reserve scheduling/dispatch/availability (when applicable).
  • Carrier: The motor carrier performing the physical transportation (may be us or a third-party carrier, depending on the shipment).

2) Before You Book

Quotes are estimates based on the details provided (vehicle, locations, operability, timeframe, and service level). Prices and pickup windows can change if details differ or market conditions change.

If you are still comparing options, we recommend getting a quote first:

3) Cancellation Rules (Most Common Scenarios)

A) Cancel before dispatch / before a carrier is assigned

If you cancel before a carrier is assigned/confirmed, any refundable amount will depend on whether a reservation/deposit was charged and what work has already been performed (quote processing, scheduling, coordination). If a processing or reservation fee applies, it may be non-refundable.

B) Cancel after dispatch / after a carrier is assigned

If you cancel after a carrier has been assigned/confirmed, you may be responsible for:

  • a dispatch/administrative fee, and/or
  • a carrier cancellation fee (if the carrier has accepted the load), and/or
  • costs already incurred to secure capacity.

These amounts are commonly non-refundable because carrier capacity is reserved and logistics work has already been performed.

C) Same-day cancellation or cancellation close to pickup

Cancellations made very close to the pickup window (including same-day) typically have higher fees or may be non-refundable, because a truck may already be routed to your pickup location.

4) Rescheduling Instead of Cancelling

If your plans change, rescheduling is often the easiest option and may reduce fees. Fees may still apply if:

  • a carrier is already assigned, or
  • your change materially affects route, dates, or vehicle condition/operability.

5) When Refunds Are Not Available

Refunds are typically not available (or may be partially withheld) when:

  • a carrier has already been assigned/confirmed,
  • the truck has been dispatched or routed,
  • you provided inaccurate or incomplete details (e.g., vehicle is inoperable but listed as operable),
  • pickup/delivery location is not accessible as described,
  • you or your contact are unavailable during the agreed window, causing a dry run,
  • the shipment is cancelled very close to pickup or after attempted pickup,
  • fees were incurred to secure capacity or third-party services.

6) Failed Pickup, No-Show, or Access Issues

If a carrier attempts pickup and cannot load due to no-show, lack of access, wrong address, blocked location, vehicle not ready, keys not available, or undisclosed inoperability, you may be charged a dry run / attempted pickup fee and related costs. These charges are typically not refundable.

7) Refund Timing and Method

Approved refunds are typically returned to the original payment method whenever possible. Processing times vary by payment provider and bank. If a refund is approved, it may take several business days to appear on your statement.

8) Chargebacks and Disputes

We encourage you to contact us before filing a dispute or chargeback so we can help resolve the issue quickly. Filing a chargeback may delay resolution if we must submit documentation (booking records, dispatch notes, carrier confirmations, and communication logs).

9) Important Notes About Estimates and Service Windows

  • Pickup and delivery are commonly scheduled as windows, not guaranteed appointment times (unless explicitly agreed).
  • Weather, traffic, mechanical issues, DOT compliance stops, and road closures can affect schedules.
  • “Guaranteed” or “expedited” options (if offered) may have different pricing and stricter cancellation rules.
